Stop running the roster from your group chat.
OverOut turns the times parents say their child can make into a suggested weekly roster for you to review and approve. Built for Australian cricket coaches.
Sixty students. Three group chats. One spreadsheet that’s never quite right.
Availability changes arrive by text, mid-week, one at a time. Seats sit empty while another session is over-full. And at the end of the season there’s no record of who turned up or what they worked on.
You offer the times. Parents tick them. OverOut suggests the roster.
- 1
Set your offered times
Each weekday, time, place and number of seats, with a level if you use them. Do it once a season and copy it forward to the next.
- 2
Parents tick what their child can make
Once a season, from the times you offer. They can change it any time and mark a one-off absence without touching their availability.
- 3
OverOut suggests. You approve. Parents confirm.
OverOut suggests a roster from everyone’s availability and your seats, favouring the coach and time each student had last season. No place is confirmed until you and the parent have both said yes. When a seat frees up, OverOut suggests it to a student still waiting for one.
What a session needs, on your phone at the nets.
- Attendance in a tapPresent, absent, late or excused, for every seat in the session.
- Session notesWhat you worked on, shared with the family only when you choose.
- A profile that follows each studentTraining plan, notes and history across seasons and coaches.
- Make-ups into free seatsGive a one-off place when someone is away.
- Rain-outs in one goCancel a session or declare a break, and every affected family is told once.
- Messages, not group chatsEach parent has a thread with each of their child’s coaches, with email alerts, so changes are on the record.
One coach, a club, or a whole academy.
Individual coach
You’re the admin. Your sessions, your students, your prices.
Club
Several coaches sharing nets and students, with sessions running side by side.
Training institution
Admins choose the coach for each session, and group students by level.
Same product and price for all three. Only the labels and defaults change.
Built for children’s data from day one.
We take children’s safety and privacy seriously. Families trust their clubs and coaches with their children, so OverOut asks only for what coaching needs, stores it in Australia, and keeps each child’s information to their family, their coaches and the organisation’s administrators.
- Stored in AustraliaChildren’s information is stored in Australia. Emails go through an email service in the US.
- Only what coaching needsName, date of birth, level and an emergency contact. Coaches see a child’s age, never the date. No photos, no school, no address.
- Parents never see other childrenEvery view shows a family only their own child.
- Messages on the recordNo one can edit or delete a message, and an organisation can put a hold on a thread so nothing in it is deleted while a concern is looked into.
- Export and erase on requestA parent can download everything held about their child, or ask for their child’s details to be erased.
The privacy policy says what’s collected, who sees it and where it goes.
Pay by the week, paused between seasons.
A weekly subscription billed to your organisation from when you publish a season, paused automatically between seasons. A week your whole organisation is on a break, declared before it starts, isn’t charged. There’s a 14-day free trial to set up your first season.
What families pay you stays between you and them for now. OverOut records every chargeable session so the weekly summary is right, without taking a cut.
